It is important to thoroughly review this policy before confirming a booking. When you confirm a charter with HalcyonPublicWay, it is considered that you have consented to these refund conditions.
Standard Cancellation and Refund Schedule
More than 72 Hours Before Charter
Eligible for: Complete refund excluding processing charges
Processing Time: 5-7 business days
Processing Fee: €50 for credit card transactions
Conditions: Must be requested via written communication through email or phone call
24-72 Hours Before Charter
Eligible for: Half of the total cost of the charter
Processing Time: 7-10 business days
Processing Fee: €25 deducted from the refund amount
Conditions: A valid justification is required; administrative expenses are incurred
Less than 24 Hours Before Charter
Eligible for: No refunds are available
Exception: Emergent situations may be taken into consideration
Alternative: A credit for chartering may be offered at the discretion of management
Conditions: Documentation needed for emergency claims
Weather-Related Cancellations
Our Weather Guarantee
Our chief concern is safety. If the captain, who is fully certified, finds the weather conditions to be unsafe for charter operations, we extend several accommodating options:
- Complete Refund: If rescheduling isn't feasible, a full refund is provided
- Reschedule: Transfer your charter to an upcoming available slot without incurring extra costs
- Charter Credit: A credit valid for one year from the initial charter date
Weather Evaluation Process
We assess weather conditions considering:
- Evaluating wind speed and direction
- Inspecting wave height and sea state
- Forecasting visibility and precipitation
- Adhering to Coast Guard advisories and warnings
- Taking into account the captain's expert safety assessment
Decision Timeline: Determinations regarding weather cancellations are made at least 4 hours prior to the planned departure time.
Medical Emergency Refunds
Emergency Conditions
In the case that a medical emergency arises, the ensuing circumstances could qualify for special attention:
- Unexpected health problems or injuries demanding hospital care
- A family member's demise
- Urgent military summons or recalls
- Mandatory jury service or legal obligations
- Natural disasters influencing travel capabilities
Requirement for Documentation
Appropriate records are necessary to process requests related to emergencies, including:
- Hospital records or a medical report
- Obituary or death confirmation
- Military orders
- Court notices or jury summons
- Travel cautions or official crisis announcements
Processing: After receiving the essential documents, emergency refunds are finalized within 3-5 business days.
Operational Cancellations
Mechanical Disruptions
If the allocated vessel faces mechanical failures that cannot be rectified:
- Substitution Vessel: A comparable vessel replacement will be attempted
- Complete Refund: Should no suitable replacement be available
- Partial Refund: If the substitute vessel differs in pricing
- Reparation: Compensation may be considered for the trouble caused
Crew Unavailability
On rare occasions when the authorized crew is unavailable:
- An alternative crew may be arranged if possible
- A complete refund is provided if the charter is unable to proceed
- Rescheduling is available with no additional charges
Refund Processing
Method of Payment
Refunds will be reverted to the initial form of payment used during the booking process:
- Credit Cards: Typically, it takes 5-7 business days
- Bank Transfers: It may take 7-10 business days
- Cash/Cheque: Can be settled within 3-5 business days
Transaction Charges
Credit Card Processing
A €50 fee is applied to cancellations requested more than 72 hours in advance
Bank Transfer Costs
A €25 fee is charged for all bank transfer reimbursements
International Transaction
Additional costs could be applicable for transactions across borders
Charter Credits
Scenarios for Credits
Under certain circumstances, credits for future charters may be proposed as an alternative to refunds:
- Cancellations with less notice (below 24 hours)
- Cancellations related to adverse weather
- Requests to reschedule voluntarily made by the customer
- Any disruptions during operations
Credit Conditions
- Validity Span: Must be used within a year from when it is issued
- Transfer Restrictions: Credits cannot be shifted to other individuals
- Value: Equal to the total value of the charter without the inclusion of handling charges
- Utilization: Credits are applicable to any available future charters
- Expiry: There will be no extension past the 12-month limit
Refunds for Partial Services
Service Disruptions
If the charter experience is hindered or shortened due to factors within our control:
- A refund proportional to the unutilized duration
- Credit matching the value of future charters
- Gratuitous services or premium upgrades
Guest-Related Disruptions
If a charter must be ended earlier due to participant conduct or breaches of safety protocols:
- No reimbursement for the remaining time
- The entire payment is still expected
- Additional charges may be levied
Dispute Management
If you take issue with a decision regarding a refund, you have the option to:
- Ask for an assessment by our executive team
- Contribute additional information or proof
- Turn to consumer rights organizations for assistance
- Explore possible legal avenues as established by the law

- Your preferred means of receiving the refund
Step 3: Evaluation and Completion
Our team will confirm receipt of your request within a single day, evaluate it in accordance with this policy, respond to you with a decision within two days, and then process any approved refunds based on the timelines stipulated.
Important Considerations
- All appeals for refunds need to be formally written
- The refund process is conducted in €, regardless of the original transaction currency
- We highly suggest obtaining travel insurance
- Policies are susceptible to modification upon a 30-day notice
- Refunds adhere to relevant taxes and legal requirements
